Email Deliverability for Outlook and Hotmail: Why Your Emails Go to Junk

Why Outlook is different
Microsoft Outlook (including Hotmail, Live.com, and MSN.com addresses) uses different spam filtering technology than Gmail. While Gmail leans heavily on engagement signals, Outlook combines IP reputation, content analysis, and its own proprietary scoring.
Outlook is often more aggressive at initial spam filtering than Gmail, especially for new sending IPs or domains without established reputation. Many senders who have excellent Gmail deliverability still struggle with Outlook.
Microsoft's Smart Network Data Services (SNDS)
The first step for any sender with Outlook deliverability issues is to register for Microsoft's Smart Network Data Services (SNDS) at sendersupport.olc.protection.outlook.com.
SNDS shows you: - Trap hits (spam trap email addresses on your IP) - Complaint rate - Your IP's overall reputation (green/yellow/red) - Message volume and delivery statistics
If your IP shows red status in SNDS, that's why your emails are going to junk. Address the underlying issues before any other troubleshooting.
Outlook-specific spam filter causes
Content filtering: Outlook's content filters are more rule-based than Gmail's. Words like 'free', 'guarantee', 'no obligation', excessive punctuation, and misleading subject lines trigger filters.
URL reputation: URLs in your email body are checked against Microsoft's URL reputation database. Links to domains with poor history cause filtering.
IP reputation: Microsoft maintains its own IP reputation database separate from blacklists. An IP can be clean on all blacklists but still have poor Outlook reputation.
Authentication failures: Missing SPF or DKIM causes immediate junk classification in Outlook for new senders.
Fixing Outlook deliverability issues
1. Register for SNDS and Microsoft Junk Mail Reporting Program (JMRP) to receive complaint feedback 2. Ensure full SPF, DKIM, and DMARC authentication — Microsoft requires this for good reputation 3. Set up a proper PTR record — Outlook is strict about reverse DNS 4. Join Microsoft's Sender Support program if you qualify (high-volume senders) 5.
